RMA - Return Merchandise Authorization System

 Take control of your returns with this add-on for QuickBooks.  Create an RMA from invoiced products.  Keep track of inbound products then receive and process as they arrive.  Automatically place back into stock, or place aside for review.  Automatically create credit memos.

The RMA creation form allows you to lookup a particular invoice and view what was sold and returned for  that invoice.  You can enter the amount of product being returned in the column Qty to Return.  If you click the check box next to the Qty to Return column, the balance remaining to be returned will be automatically filled in the Qty to Return column.  If you enter a quantity greater than what is left to return, a warning message will popup alerting you of the situation.

If you have serial number specific products, you can enter the serial number of the item in the Serial Number text box, and that invoice will be found if that serial number was indeed invoiced by you.

There is an area to add comments for internal use,  RMA Comments.  Once you have selected the products to return, click on the process icon       and an RMA will be crated.  A pop-up window will then display the RMA number generated.

The figure below shows the popup window that displays when the RMA is created.  If you have the Warehouse Management System installed, you will be able to see this RMA in the Return Authorization section and receive it through that module.

The form displayed in the figure below is the RMA Maintenance form.  This form allows you to receive the incoming product and create a credit memo.  You are given several choices on how to handle the incoming stock.  You can return it to stock, set it aside in a suspense location or discard it.  The returning stock might have been damaged and you do not want to return it to your sellable stock.  There might be the need to have quality control look at the product before a decision is made to return it to sellable stock or downgrade the product to used or damaged stock

The RMA status form allows you to list RMA that are opened, partially received, or closed.  This report is useful to manage your RMAs

 

This is the Invoice History lookup form.  It allows you to easily search for an invoice by invoice number, order number, company name, ship to address, customer PO Number, date, and several other fields.  You call this form by clicking on the binoculars on the RMA Create form

 

This is the RMA lookup form.  It allows you to search for an RMA by a number of different fields.  It is similar to the Invoice lookup form.  Its an easy tool to find RAMs.
